I need an assistant to rename documents in accordance with my instructions - Upwork

1. You give me your email address so I can give you access to BambooHR, where you will be renaming documents according to my instructions.

2. After you login successfully, you will have very limited access to the platform.

3. Click on the 'Employees' tab, and you will see a list of employee names and job titles. Click on an employee and view an employee profile. Each employee has documents attached to their profile.

4. In the Documents tab, click 'Signed Documents' to view a list of documents. Notice how each document is listed for example, "LastName_FIrstName_1234567_123456_3edf6.pdf"

5. I want you to rename the documents by this format:

LastName_FirstName_DocumentName.pdf…. Or if it’s a .jpg file, put .jpg at the end.

6. This is the list of possible document names.

Make an educated guess to rename the document based on the contents of the document. I will send you an example file with examples of what each file looks like.

There are 4 exceptions:
1) The document is a Continuing Education (CE or CEU) certificate
2) The document is a professional license to operate in a state
3) The document does not match any documents and will be uncategorized.
4) The document is a Credential Agent User Agreement

See item #8 to see what to do with these exceptions.

7. Rename the documents accordingly. For example, Greg Adams has a document titled: Adams_Greg_1480799_249153_Ee780.jpg

The document should be correctly named: Adams_Greg_HomeCall_LHC_Exhibit_C.jpg

Another example, Monica Armagost has a document titled: Armagost_Monica_2143940_249153_Ad2b1.pdf

The document should be renamed to: Armagost_Monica_Hepatitis_B_Vaccine_Acceptance_Declination.pdf

8. You will rename all of the documents for all of the employees in the database.

From item #6, exceptions:

For item 1) use your best judgement to name the CE course. It is not imperative that you get this absolutely correct, but please make an effort to name it properly.

Example: LastName_FirstName_CE_CourseName.pdf

For item 2) you must label the document name with the correct state.

Example: LastName_FirstName_State_Professional_License.pdf  <-- just replace the employee name and the state name.

For item 3) If you cannot match a document with a document name, title the document: LastName_FIrstName_Uncategorized.pdf

I will categorize them later. I do not expect there to be many of these, but there might be a couple documents per employee at most that would fall under this category.

For item 4) If you are viewing a document about the Credential Agent User Agreement, simply delete the document.

If you accidentally delete a document or multiple documents, pleas let me know. I have a saved backup in case of accidental deletion.
